Navigating to and Creating a New Sales Order

 

  • Navigate to Sales Orders: On the left-hand navigation menu, click on 'Sales' and then select 'Sales Orders'.

  • Initiate a New Order: In the bottom right corner of the sales orders screen, click the 'Create' button.

 

Filling in Order Details

 

  • Select Order Type: At the top of the 'Create Sale Order' page, you can choose between creating an 'Order' or a 'Quote'. For this process, select 'Order'.

  • Choose a Channel: Select the appropriate sales channel from the dropdown menu (e.g., B2B Orders).

  • Set Currency: If necessary, change the currency for the order from the default (e.g., GBP).

  • Add Notes and Tags:

    • You can add internal notes for colleagues in the 'Notes' section on the right.

    • Use the 'Tags' field to add relevant tags for reporting, such as 'forward-booked'.

  • Assign a Sales Representative: Select the appropriate sales representative from the dropdown menu.

  • Select a Customer:

    • In the 'Customer' section, start typing the customer's name.

    • Select the correct customer from the list that appears.

    • A notification may appear if the customer has exceeded their credit limit, which you may need to acknowledge.

  • Enter Delivery Information:

    • If the order requires delivery, ensure the 'Requires delivery' box is ticked.

    • Enter the recipient's name and organisation.

    • Start typing the delivery address and select the correct one from the lookup.

    • Choose a 'Delivery Option' (e.g., DPD Next Day).

    • Set a future 'Ship by' date if required by clicking on the calendar icon.

    • Add the 'Delivery Contact Name', 'Delivery Contact Email', and 'Delivery Contact Phone Number'.

 

Adding Items to the Sales Order

 

  • Add Items: Click the 'Add/Browse Items' button.

  • Search and Select Items:

    • In the pop-up window, you can search for products by name or SKU.

    • You can also configure the columns to show relevant information like 'On Hand', 'On Order', and 'Allocated' stock.

    • Select the desired item(s) by ticking the checkbox next to them.

  • Handle Item Variations (Matrix):

    • If a selected item has variations (e.g., different sizes and colours), a 'Matrix' button will appear.

    • Click 'Matrix' to open a grid showing all the variations.

    • Enter the quantities for each specific variation you want to add to the order.

    • Click 'Done'.

  • Adjust Item Details:

    • Once items are added to the order, you can edit the quantity and price for each line item directly.

    • You can also duplicate or remove items using the options on the right of each line.

 

Finalising the Sales Order

 

  • Review the Order: Double-check all the details, including the customer information, delivery address, items, quantities, and prices.

  • Create the Order: Click the 'Create' button at the bottom right of the page.

  • Acknowledge Warnings: If there are any warnings, such as the customer being over their credit limit, a confirmation pop-up will appear. Acknowledge it to proceed.

  • View the Created Order: After creation, you will be given the option to 'View order' or 'Create another'. Click 'View order' to see the finalised sales order details.

This process allows you to efficiently create detailed sales orders directly in the Stok.ly back office.
